Choosing a BPO (business process outsourcing) company in Qatar is a decision about who will speak to your customers, handle your data and run part of your operation every day. Price matters, but scope, people, service levels and reporting decide whether the partnership works. This checklist will help you compare providers on the same basis.
1. Define the scope before you ask for quotes
Write down exactly what you want to outsource: the process, volumes per day or month, working hours, languages, systems used and the result you expect. Without this, every proposal will be priced on different assumptions and impossible to compare.
- Which process: customer service, back office, data entry, HR administration, finance support?
- Expected volumes and peaks (for example Ramadan, sales seasons, product launches).
- Channels: phone, WhatsApp, email, live chat, social media, visual CX.
- Languages needed, for example Arabic and English.
- Hours: business hours, extended or 24/7.
2. Check relevant experience
Ask for examples of similar work in your sector and in Qatar or the GCC. A provider that already understands your industry needs less training time and makes fewer mistakes in the first months. See the industries DotLynx supports.
3. Ask how they hire, train and keep people
- How are agents recruited and screened?
- How long is initial training, and who signs it off?
- What is the attrition rate and how is knowledge kept when people leave?
- Who are the team leader and quality staff assigned to your account?
A BPO company is only as good as its people. A provider that also runs recruitment can usually scale the team faster.
4. Agree SLAs and KPIs in writing
| KPI | What it measures |
|---|---|
| Service level / answer time | How quickly contacts are answered |
| First contact resolution | Share of issues solved in one interaction |
| Accuracy / quality score | Results of call or case audits |
| Turnaround time | Time to complete back-office tasks |
| Customer satisfaction (CSAT) | How customers rate the service |
| Attrition | How stable the team is |
Each KPI needs a target, a reporting frequency and an agreed action if it is missed.
5. Review data security and compliance
- Who can access customer data and how access is controlled.
- Where data is stored and how it is backed up.
- Confidentiality agreements for staff.
- Call recording and privacy practices.
- Compliance with Qatar labour law for the staff working on your account.
6. Understand the pricing model
| Model | How it works | Good for |
|---|---|---|
| Per FTE per month | Fixed cost per agent | Stable volumes |
| Per transaction / contact | Pay per call, email or case | Variable volumes |
| Outcome-based | Fees tied to results such as sales or resolution | Mature, measurable processes |
| Hybrid | Fixed base plus volume charges | Most mid-size operations |
Ask what is included: recruitment, training, supervision, technology, reporting and management fees. Hidden extras are the most common source of disputes.
7. Ask for a transition plan
A credible provider will show how it moves from contract signature to live operations: discovery, process documentation, hiring, training, system access, pilot and full go-live. It should also explain how you exit or bring the process back in-house if needed.
8. Check reporting and governance
You should get regular reports on volumes, KPIs and issues, plus a monthly or quarterly review with a named account manager. If you change providers later, see how to switch BPO providers.
